Terms of service

1. Agreement

By creating an account or using ComplianceVault, you agree to these terms of service. If you are using the service on behalf of an organisation, you represent that you have authority to bind that organisation to these terms.

2. The service

ComplianceVault provides a platform for managing compliance evidence, including document storage, expiry tracking, compliance pack generation, and secure sharing. The service is provided “as is” and we continuously work to improve it.

3. Your account

You are responsible for maintaining the security of your account credentials. You must notify us immediately of any unauthorised access. We are not liable for losses resulting from unauthorised use of your account.

4. Your data

You retain ownership of all content you upload to ComplianceVault. By using the service, you grant us a limited licence to store, process, and display your content solely to provide the service. We do not access your content except as needed for support or as required by law.

5. Acceptable use

You agree not to:

  • Use the service for any unlawful purpose.
  • Upload malicious files or content designed to disrupt the service.
  • Attempt to gain unauthorised access to other users’ data.
  • Resell or redistribute the service without written permission.
  • Exceed the usage limits of your subscription tier through automated means.

6. Subscriptions and billing

Paid plans are billed monthly or annually as selected. Prices are in GBP and may be updated with 30 days’ notice. You may cancel at any time; your access continues until the end of the current billing period. Refunds are not provided for partial billing periods.

7. Tier limits

Each subscription tier has limits on members, clients, evidence items, and storage. When you reach a limit, you will be prompted to upgrade. Existing data is never deleted or restricted when limits are reached.

8. Shared packs

When you share a compliance pack via a secure link, the recipient can view and download the contents for the duration you specify. You are responsible for ensuring you have the right to share the documents contained in your packs.

9. Limitation of liability

ComplianceVault is a tool to help you manage compliance evidence. It does not constitute legal, regulatory, or professional compliance advice. You remain responsible for ensuring your business meets all applicable regulatory requirements. We are not liable for any losses arising from expired, missing, or incorrect compliance evidence.

10. Service availability

We aim for high availability but do not guarantee uninterrupted service. Planned maintenance will be communicated in advance where possible. We are not liable for temporary service disruptions.

11. Termination

We may suspend or terminate your account if you violate these terms. You may delete your account at any time through the app settings. Upon termination, your data will be handled in accordance with our privacy policy.

12. Governing law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
